Macquarie’s suppliers are critical to our business success. We seek the delivery of high-quality products and services and are committed to ensuring high standards of environmental, social and governance performance throughout our supply chain.

Principles for Suppliers

The Principles for Suppliers outline Macquarie’s expectations of our suppliers regarding human rights, environment, health and safety, and business ethics. They help Macquarie uphold its core values with the aim of having supplier relationships that create long term, sustainable value for our clients, shareholders and communities.

We acknowledge and value the important role of suppliers in our business success and therefore aim to foster strong supplier relationships that encourage collaboration. Suppliers should be familiar with the Principles for Suppliers and the core principles of Opportunity, Accountability and Integrity described in the Macquarie Group Code of Conduct. Macquarie is committed to continuous improvement and this document is subject to modification from time to time.

Completing supplier governance and assurance activities in Macquarie MySupplier

Macquarie carries out compliance audits and assessments with suppliers as necessary to ensure alignment to our Principles for Suppliers or compliance with applicable laws and regulations.

Aligning with Macquarie’s Principles and risk management framework, in April 2022, Macquarie commenced a phased transition to a new supplier risk management platform, Macquarie MySupplier. Suppliers involved in this initial phase have been contacted and received communications about the changes. All remaining suppliers with governance obligations will be contacted as future phases are launched. The new platform is part of our continued commitment to ensuring a high standard of supplier risk management and operational resilience and will be an improved and more efficient way for suppliers to engage with Macquarie.

 

New supplier or service

If you are a new supplier or an existing supplier with a new service to Macquarie – as part of the supplier due diligence processes, your Macquarie Relationship Manager will register your access to Macquarie MySupplier. You will receive log-in details via email to get access to the platform and enable you to complete any required assessments.

Assessments

The assessments in Macquarie MySupplier are tailored to the services that you provide to Macquarie. Questionnaires and supporting documents and attachments are securely submitted via Macquarie MySupplier. You can also delegate assessments or individual questions to the relevant experts within your organisation – see our FAQs guide for more information.

 

Remaining compliant with supplier governance expectations:

  1. Log-in details will be sent to your email address. Your details will give you access to Macquarie MySupplier, a cloud-based platform for supplier risk activities.
  2. Once logged in, you will be presented with the relevant assessments which can be actioned and submitted to Macquarie. You will receive notification(s) if any clarifications are required, which are also actionable within the platform.
  3. All assessments and related attachments can be referenced in future assessments to save you time.

Submitting an invoice to Macquarie

All suppliers should ensure their company details they have on record with Macquarie are up to date, including name, address, tax registration, email addresses (to receive purchase orders, remittance slips etc), and bank account details. Please advise Macquarie of any changes by emailing vendor.support@macquarie.com. If you are a new supplier - as part of the new supplier verification process, you may be contacted by Macquarie’s Vendor Support Team to provide further information validating your company details before a purchase order is issued or payment is made.

 

Invoice processing via Coupa

Macquarie uses the Coupa procure-to-pay (P2P) platform for all purchasing, invoicing and payments.  To facilitate timely payment, all valid invoices must include a purchase order number and should be submitted electronically to Macquarie via the Coupa Supplier Portal (CSP).  The Coupa registration process for suppliers comes at no cost to you and includes the ability to submit and track your invoices and payments on the platform.

 

How to submit electronic invoices

  1. Register for free via the Coupa Supplier Portal.  This gives you access to the cloud-based platform and allows you to manage Purchase Orders and submit invoices.  If you are not linked to Macquarie on Coupa, please contact us at vendor.support@macquarie.com to receive an invite to register.
  2. Ensure you have received a Purchase Order from your business contact.
  3. Once registered, log into the Coupa Supplier Portal and submit your invoice against an issued Purchase Order. 

Alternatively, for those suppliers who prefer not to register, there is an option to click the 'Create Invoice' link in the email you received when the Purchase Order was issued (no login/registration required).  This may be suitable for suppliers who infrequently invoice Macquarie.

Suppliers in China and India

Hard copy invoices are to be sent to the Macquarie contracting office as per the address details on the purchase orders.

 

Payment times

Unless contracted otherwise, Macquarie's standard payment term is 30 days from receipt of a valid invoice.

Raising concerns about improper conduct 

Macquarie’s suppliers, their employees and subcontractors are able to confidentially report concerns about improper conduct by Macquarie, the supplier or any other party in the supply chain. Improper conduct includes a breach of law, a breach of Macquarie’s Code of Conduct or relevant policies, conduct that may endanger the health and safety of any person or the environment, financial malpractice or unethical behaviour. Any genuine concerns about improper conduct may be reported in confidence to the Integrity Office at integrityoffice@macquarie.com which is an internally independent and confidential function that oversees Macquarie’s Whistleblower ProgramAlternatively, you may contact the Integrity Hotline to report a concern (either online or by phone) anonymously.
